Explain what the link does not show
A product link gives a useful visual reference, but may omit the exact model, material, production option, minimum quantity or packed size. Describe the features you actually need, where the product will be used and which alternatives are acceptable. Keep the product and packaging specifications together.
Identify the parties
Ask which entity sells the goods, which factory makes them and who will receive payment. Check the available business and capability evidence for the proposed order. A marketplace badge, attractive website or bank detail change should not replace a scoped supplier review.
Turn a sample into acceptance criteria
Decide what the sample must demonstrate: dimensions, finish, fit, performance, packaging or documentation. Record deviations and the version approved for production. If inspection is needed, agree its scope, timing, sample size and the person authorized to accept the findings.
Keep the commercial response complete
Request quantity breaks, supplier currency, Incoterms rule and named place, lead time, packaging, warranty process and quotation validity.
